What is the maximum data limit per client for the free version of Power BI ?

There are actually two data limits to consider for the free version of Power BI:

1. Individual file size: The maximum size for individual files like PBIX (report) or PBIT (template) files in the free version of Power BI is 1 GB. This means you can't import a single Excel file or create a report directly with data exceeding 1 GB.

2. Dataset storage limit: However, the main data limitation comes from the shared capacity where free users store their datasets. This shared capacity has a total limit of 10 GB per workspace. So, you can import data from various sources and build reports within a single workspace as long as the entire dataset (including reports, visuals, etc.) stays under 10 GB.

Here are some additional points to consider:

  • There's no separate limit per user for the 10 GB storage. The limit applies to the entire workspace, which can involve multiple users.

  • If you hit the 10 GB limit, you won't be able to save any changes to your reports or import new data. You'll need to either delete some data or upgrade to a paid Power BI Pro license which offers much higher storage limits and additional features.

  • Although technically you can have multiple workspaces in the free version, managing data across multiple 10 GB limits might not be very efficient for larger datasets.
